Russell Tutoring & Consulting is currently seeking a reliable, proactive, and enthusiastic part-time Family Care Coordinator. We seek a Coordinator who would like to grow organically with the position long-term. This position is ideal for a teacher who wants to stay home, work part-time, and make a difference in education!

We are a growing, independently-owned, boutique, full-service tutoring company that offers virtual tutoring in the Greater Philadelphia area as well to students across the country. We provide mindful test prep, academic, and writing tutoring. Uniquely, we also offer mindfulness coaching for all ages.

As the Family Care Coordinator, you would be responsible for all initial family education, assessment, and onboarding; then you would track and ensure each family’s satisfaction with RTC’s services. Our current FCC works remotely, though if you live close to our office, you would come to our North Wales, PA home office twice a month to manage and ship student materials. Qualifications

  • Bachelor’s Degree.
  • Teaching experience in K-12 and/or SAT/ACT test prep is required.
  • Knowledge and experience with mindfulness is strongly preferred.
  • Passion for and dedication to supporting students on their holistic path to success.
  • Ability to exercise discretion and maintain confidentiality of all student and family information.
  • Ability to work 10-25 hours a week, Monday-Friday (8am-7pm). We require varied availability, but you can set your schedule. We offer you flex if you offer us dedication!
  • Proficiency with MS Word, Excel, and Google Suite products.
  • Graphic design experience and comfort with Canva is a plus.
  • Excellent oral and written communication skills.
  • Reliability, promptness, initiative, and adaptability.
  • Excellent organizational, critical-thinking, and problem-solving skills.
  • Ability to work with a diverse group of individuals.
  • Desire to learn, grow, and collaborate.
  • Desire to commit to a position preferred — preferably at least 2 years.  We invest in our team, and we’re looking for someone who’d like to invest in us.

Responsibilities

  • Manage the new student onboarding process; resource families for test prep, academic, and mindfulness programs:
    • Maintain a flexible calendar with daytime and evening availability for appointments.
    • Maintain RTC “Leads” document to track client contacts and onboarding progress.
    • Conduct initial client consultation calls, on video when possible.
    • Educate families about RTC and assess if we are a match for their student.
    • Send information and assessment emails to qualifying families.
    • Manage new family onboarding to TutorCruncher online platform.
    • Follow-up with interested families by phone and email.
    • Score and correlate SAT and ACT baseline exams.
    • Collect and review student information, e.g. IEPs.
    • Interview and assess students.
  • Manage new tutoring program administration:
    • Create, send, and ensure families sign tutoring agreements.
    • Create infrastructure for new student programs.
    • Create student assignments for tutors.
    • Print and ship student supplies from the RTC office in North Wales, PA.
  • Perform administrative support of active tutoring programs:
    • Manage clients and tutors in TutorCruncher.
    • Track family invoices and payments.
    • Serve as an administrative and accounting resource to families and tutors.
    • Track and ensure SAT/ACT student test registrations.
    • Follow up with families during tutoring programs to ensure continuity and satisfaction.
    • Close out programs and track student successes.
    • Print and maintain student supplies at the RTC office in North Wales.
  • Track past students for achievements.
  • Thank families and partners for referrals.
  • Create administrative systems and documents as needed.
  • Create marketing materials for families and schools.
  • Do fun, creative projects we come up with to grow RTC.
  • Any other reasonable duties as deemed appropriate by the company President.
